Terms and Conditions

1.- 💲 Prices and Payment Information

• All prices are expressed in U.S. Dollars (US$).
• Our prices include applicable taxes and agency fees.
• Prices are subject to change without prior notice. However, once your reservation is confirmed, your price will not change.
• Before confirming your booking, you must voluntarily agree with the cost of the selected tour to avoid future claims or misunderstandings.

💳 Payment Methods

• VISA: 6% commission applies.
• PayPal: 7% commission applies.
• Bank Transfer: Additional transfer fees may apply. Final amounts can vary depending on banking deductions. You’ll be informed of the exact amount upon receipt.
• WeTravel: Payments through our WeTravel platform are recommended for secure and transparent processing.
• All payment commissions are assumed by the customer.

2.- 🎟 Ticket Purchases (Machu Picchu, Huayna Picchu, Montaña)

• All ticket prices include taxes and agency fees.
• No refunds or changes are permitted once a ticket is issued.
• If we cannot obtain your ticket, a full refund will be issued.
• Student discounts apply only with a valid ISIC card; a copy must be submitted.
• Minors under 17 must submit a copy of their passport.
• We will send your tickets and invoice via email in PDF format, including the official reservation code.
• Purchases are processed within 24 business hours (up to 48 hours on holidays or Sundays).
• Sungate Peru Travel is not responsible for lost tickets, errors in submitted data, or denied entry due to external events such as strikes or natural disasters.

3.- 📅 Reservation & Cancellation Policies

Inca Trail (2D/4D):

• Due to DRC regulations, no changes or cancellations are allowed after booking.
• No waiting list or replacements are permitted.

General Cancellations:

• Partial Payments: Non-refundable.

Full Payments:

• Cancellations ≥4 days before the tour: Partial refund minus unrecoverable expenses (tickets, taxes, hotel fees, etc.).
• Cancellations <3 days before: Considered no-shows, no refund.
• All cancellations or changes must be requested in writing via email. Once cancelled, the reservation cannot be reinstated.

4.- 📃 Personal Documentation & Travel Insurance

• All travelers must provide:
• Full name
• Nationality
• Age
• Valid passport or ID
• Required documentation must be valid and match the data provided during booking.

We highly recommend obtaining comprehensive travel insurance, including medical coverage, accidents, trip cancellation, repatriation, and baggage loss. Send us a scanned copy or have someone send it on your behalf.

5.- ⚠ Understanding Risks & Responsibility Agreement

• Traveling in Peru requires flexibility, patience, and understanding that unforeseen changes may occur.
• By booking with us, you acknowledge the risks involved and agree to adapt accordingly.
• A digital risk and responsibility form must be signed before the tour begins, usually during the pre-trip briefing.

6.- 🌄 Types of Services Offered

Shared/Group Tours:

• Minimum number of participants may apply. If not met, the tour may be cancelled.
• Any restrictions or requirements will be communicated in advance.

Exclusive Service:

• Tours fully operated by Sungate Peru Travel.
• Group size: min. 2–4, max. 15–16 depending on tour type.
• A dedicated guide is assigned exclusively to your group.

Private Service:

• Fully private tours with your own guide, operated entirely by our company.

Luxury Service:

• Exclusive, high-end experiences. We guarantee attention to detail to ensure your journey is exceptional.

7.- ⛔ Force Majeure & External Disruptions

• Force majeure includes, but is not limited to: war, threats, strikes, protests, illness, extreme weather, natural disasters, or other situations beyond our control.
• In such cases, Sungate Peru Travel is not responsible for disruptions, and reserves the right to modify, reschedule, or cancel the trip as needed.
• It may be necessary to adjust the itinerary, reduce the duration, or depart earlier than planned.
• No additional cost will be charged in such cases, but we are not liable for any losses or inconvenience caused.

8.- 🚆 Train Tickets & Modifications

• Our Machu Picchu tours include round-trip train tickets from Poroy or Ollantaytambo.
• Return trains (Expedition service) typically depart between 6:20 PM and 6:45 PM. Some departures may be at 9:30 PM.
• Ticket upgrades (Vistadome, Hiram Bingham) are available for an extra fee.
• If you wish to extend your stay in Aguas Calientes, we can reschedule your return ticket (based on availability). Additional costs apply for extra tickets, accommodation, and transfers.

9.- 📌 Pre-Tour Briefings & Final Payment

• A mandatory pre-tour briefing is held 1–2 days before departure at our office, your hotel, or via phone (between 6 PM and 7 PM).
• Remaining balances must be paid during this meeting in US Dollars or Soles.
• If payment is not completed before the tour, the reservation may be cancelled.

10.- ⛰ Acclimatization Advice

• To minimize altitude sickness, we recommend arriving in Cusco 2–3 days before your tour.
• Tips: stay hydrated, eat light meals, avoid alcohol/tobacco, drink coca tea, and consult your doctor about Diamox if needed.
